Breaks & pay settings
Choose the overtime rule for your arrangement. Daily and weekly rules are alternatives; they are not combined.
How the calculation works
For each day, paid minutes = clock-out time − clock-in time − unpaid break minutes. An end time earlier than the start is treated as the next day. The calculator adds exact minutes before displaying hours and decimal hours.
Choose one overtime rule: hours beyond a daily threshold, or hours beyond a weekly threshold. Estimated gross pay = regular hours × hourly rate + overtime hours × hourly rate × overtime multiplier.
Try an example
Select Load example to fill Monday through Friday with 09:00–17:00 shifts and a 30-minute unpaid break each day. That gives 7 hours 30 minutes per day, or 37.5 hours for the week. At $20 per hour with no overtime, estimated gross pay is $750.
How to use this calculator
- Choose the start date for your seven-day time card. Enter a clock-in time, clock-out time and unpaid break minutes for each day worked. Leave unused days empty; Load example fills a sample Monday-to-Friday week.
- Enter an hourly rate if you want a gross pay estimate. Choose no overtime, weekly overtime or daily overtime, then set the threshold and multiplier for your chosen rule.
- Review daily paid hours, the weekly total and any overtime. Download a CSV for a spreadsheet or use Print and your browser's Save as PDF option to keep a copy before leaving the page.
Common questions
How do I calculate hours worked from clock-in and clock-out times?
Subtract the start time from the end time, then subtract unpaid break minutes. A shift from 09:00 to 17:00 spans 8 hours; a 30-minute unpaid break leaves 7 hours 30 minutes of paid time. Add the daily paid minutes and divide by 60 to get decimal hours.
Why is 7 hours 30 minutes shown as 7.5 hours?
Decimal hours use fractions of an hour, so 30 minutes is 30 ÷ 60 = 0.5 hours. A value of 7.30 decimal hours means 7 hours 18 minutes, not 7 hours 30 minutes. This calculator keeps whole minutes for its time calculations and rounds the displayed decimal result.
Does the time card calculator subtract paid breaks?
Enter only breaks you want excluded from paid hours. Leave the break at zero when the entire shift is paid. A break cannot exceed the shift's elapsed time; the calculator asks you to correct invalid entries instead of producing negative paid hours.
Can I enter a shift that crosses midnight?
Yes. When clock-out is earlier than clock-in, the calculator treats clock-out as the following day. For example, 22:00 to 06:00 spans 8 hours before breaks. The full shift belongs to its starting day's row. Equal start and end times mean zero elapsed time, not a 24-hour shift. It uses clock times and does not adjust for daylight-saving changes.
How are daily and weekly overtime different?
Weekly mode counts paid hours above your threshold across the seven-day card. Daily mode applies your threshold separately to each day's paid hours, then adds the excess. Choose one mode at a time; this tool does not combine daily and weekly overtime or apply double-time, holiday or consecutive-day rules. Check that your chosen settings match the calculation you need.
Does excluding weekends change the seven-day time card?
The period always covers seven consecutive calendar days from your chosen start date. Excluding weekends hides Saturday and Sunday and leaves them out of totals and exports. Their entries are kept if you show them again. The period start and end dates do not change.
Is the pay result my take-home pay?
The result is a gross pay estimate from your hourly rate and selected overtime settings. It does not calculate tax withholding, deductions, benefits, tips or other adjustments. The tool applies the inputs you choose and does not determine which pay or overtime rules apply to a particular job.
Can I save, export or print my time card?
Download a CSV to open the time card in a spreadsheet, or choose Print and select Save as PDF if your browser offers it. Entries stay in the current page's memory and are not saved to an account or restored after a reload. Export or print a copy before closing the page.
